The Executive Administrative Assistant provides administrative support for Sr. Managers and Executives within the organization in a timely and professional manner. This position has access to sensitive and confidential information and requires a high degree of professional discretion.

Essential Duties and Responsibilities:

-Write and distribute email, correspondence memos, letters, faxes and forms
-Assist in the preparation of requested reports
-Serves as a client and guest point of contact for the company by welcoming and functioning in a “meet and greet” capacity
-Answer and direct all phone calls as needed
-Responsible for booking travel arrangement for all CLS Group employees
-Coordinates daily calendars of executives
-Maintains current contact information for all CLS Group clients and guests
-Plan various business and personal events of executive staff
-Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
-Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
-Record, compile transcribe and distribute minutes of meetings
-Able to maintain and be appropriately sensitive to confidential and proprietary information
-Able to adjust communication style to handle effectively diverse customer situations
-Strong sense of customer service
-Possesses a good understanding of general office and administrative procedures
-Demonstrates good interpersonal skills: able to work well with a wide range of people
-Must demonstrate flexibility with shifting priorities in working with all members of the team
-High level of verbal and written communication skills
-Strong attention to detail
-Able to perform a moderate level of mathematical computations

Desired Qualifications and Experience

-High School diploma, GED, or equivalent work experience
-Proficient at using Microsoft Word, Excel, and Outlook
-3-5 years previous experience supporting executives in an administrative role
-Knowledge of office management systems and procedures
